Saltire Scholarships Privacy Notice

Please read the following notice that explains how we use the personal information that is held on users and which is populated by application users.

Personal data and use

When you provide personal data to us or populate personal data within the Saltire Scholarships applicant form, it will be used for the purposes for which it was provided as stated at the point of collection.

The legal basis for the processing of this personal data is public task. Scottish Government and Brand Scotland have a shared objective to encourage studying, working, investing and living in Scotland. This includes supporting the promotion of Scotland as an excellent destination for academic learning, with the Saltire Scholarships scheme acting as an agreed means to help achieve this. The data processing of personal data is necessary for the administration and awarding of Saltire Scholarships.

In general terms, we use this personal information to:

  • share your application with the appropriate Scottish Higher Education Institute to allow them to verify your scholarship application with an awarded university offer
  • allow them to assess your application
  • contact you by email to inform you of a decision on your application.

The personal data held on each applicant is name, email address, university, course details and course offer.

The personal data that must be populated by each Scottish Higher Education Institute user to allow access to the system is name, Scottish Higher Education Institute and work email address.

We also ask for your consent to contact you further regarding marketing opportunities for the Saltire Scholarships programme. This is entirely optional and does not impact your Saltire Scholarship application. Once provided, you are able to withdraw this consent at any time.

Cookies and Analytics

In addition to the personal data described above we also record:

  • your Internet Protocol (IP) address
  • the web browser and version you used to view or complete this form
  • information on how you use the site, using cookies and page tagging techniques.

We use Google Analytics software to collect information about how you use Saltire Scholarships application form. This includes IP addresses. The data is anonymised before being used for analytics processing.

Google Analytics processes anonymised information about:

  • the pages you visit on Saltire Scholarships application form
  • how long you spend on each Saltire Scholarships application form page
  • how you got to the site
  • what you click on while you’re visiting the site.

We do not store your personal information through Google Analytics (for example your name or address).

We will not identify you through analytics information, and we will not combine analytics information with other data sets in a way that would identify who you are.

The legal basis for processing this data is consent. You can withdraw this consent at any time.

We collect information through Google Analytics to see how you use the site and government digital services.

We do this to help:

  • make sure the site is meeting the needs of its users
  • make improvements.

Retention of personal data

Applicant Data

Applicant data will be retained within the application for one year.

Successful Saltire scholars applications will be kept in the Scottish Government corporate content management system (eRDM) for a further two years. All other applications will be deleted and not retained after one year.

Scottish Higher Education Institute Users

The personal data on each user is held on the system for the purposes for which it is processed (i.e. registration to allow use of the system) and will be retained as long as each user remains registered for use. Users will be able to delete their account at any time. Once a user account has been deleted, details will only remain stored on the system for audit purposes or until it is no longer required.

We will delete access log data after 180 days.

Your rights

For any general data enquiries or requests under the:

  • rights of objection, restriction and deletion.
